Introduction
To Archetype Software: Archetype contains more than 50 separate, but integrated, programs to address a wide range of issues faced in a design office. Whether you are trying to manage the cost of a job, e-mails and their attachments, drawing revisions and issues, correspondence, contacts, digital images, room data sheets and finishes, etc. there is a module designed to help you (see the links to some of the modules on the left of the screen). Archetype was developed in a busy design office and has been used for more than 6years in a range of practices. We listen closely to our clients and many of the new features and modules in Archetype have been added as a direct result of suggestions by users. This has enabled us to tune Archetype and make sure that it has the features you need on a day to day basis. Archetype is project orientated. Once a project has been entered in the Project Register it can be selected on the main control panel. The project number, client's name and project description are then displayed on the control panel. Any button then selected will relate to the selected project. Information relating to the project is automatically used where required and Archetype learns, as you use it, which of your contacts are involved in the project. Thus, you may have thousands of contacts in the contacts management module but you will immediately know which of them are involved in a project. Archetype reads your username (login name) on your computer and uses this when a document is produced. Documents are given unique document references and are logged in the appropriate document registers automatically. Documents can be locked to prevent further changes when they have been issued. Quality Assurance procedures are simplified when using Archetype. The simple document creation methods ensure consistency of information and layout. Documents are automatically filed and cannot be misplaced. Everyone who uses a computer in your practice needs to use Archetype. Everyone's needs are different but everyone uses the Archetype modules required for their day to day tasks. From the office junior stamping mail to secretaries working on correspondence and minutes and from technicians working on drawings to Architects or Engineers managing projects, Archetype has modules that will make your work easier and faster. Document management systems that rely on the user registering a document after or during its production generally fail because the user fails to register it (`I am too busy, I will do it later') or registers it incorrectly. Also they do not address the issues of producing the document, e.g. consistent formatting to a house style and reuse of existing information, but rely on the user knowing which templates (if any) to use, what document references should be used, what information should it contain, what file name to give it, where should it be stored, etc. ARCHETYPE automatically registers documents as they are produced. Any system which is not a part of the process is doomed to failure. Archetype is a part of your every day work processes. Creating a schedule, creating a drawing issue sheet, keeping the drawing register up to date, all are easier with Archetype. Manage Documents: All Archetype documents are automatically assigned unique references and stored without need for filenames, directories, templates, etc. and can be found at the press of a button. Once a document has been produced, it is automatically registered in the system. It can be easily located by anyone without resort to finding directories and filenames. Documents are locked once they have been issued to prevent changes being made. Searches can easily be made to find any required information. Increase Productivity: Documents can be created in a fraction of the time using Archetype's intelligent document production. ARCHETYPE simplifies the production of architectural documents and minimises the user input. The user simply fills in a form (often selecting from appropriate lists). Project information such as project numbers, titles, locations, addresses, document references, etc. are automatically filled in. This approach provides greater productivity, enables relatively inexperienced users to produce their own documents, and ensures consistent house styles and accuracy of the information. Users do not need to know about templates, unique document references, filenames or directories. Manage Information: The information in Archetype documents can be accessed easily e.g. How many doors of a particular type are there? Which snagging items are still outstanding? When was a drawing last issued and to whom? How many Architect's Instructions refer to a particular subject? Want a list of all the faxes to a particular recipient between two dates? Want to know which faxes contain a word or phrase? Want to know how much time was spent on a project ? Want a list of all outstanding snagging items room by room? These questions and many more can be answered with ease. Ensure Standardisation: Archetype documents use a consistent house style without any need to specify fonts, tabs, indents, logos, etc. Simple to use: Archetype provides simple solutions for your every day document issues and understands your needs. Archetype works the way you do. Archetype is designed specifically for Architects. It understands how Architects work, the way documents are produced and the way the information in the documents needs to be managed. Each module has the functionality you need. For example, the Drawing Register manages drawing revisions, drawing issues, drawing status, etc. Archetype has more than 45 modules (some listed on the left, use the links to find out more about each module) that help you produce and manage documents and the information contained in them. Unlike other document management systems, which require the document to be produced and then registered in the system, ARCHETYPE focuses on the production of the document and automatically registers it for you. |
